Gym Management Software in Ahmedabad: Spreadsheet, Ready-Made App or Custom?
An honest comparison for gym and fitness studio owners — when a spreadsheet is enough, when a ready-made app is right, and when your own system is worth paying for.

Every gym owner reaches the same point. The register is messy, renewals get missed, someone's payment is "definitely done" but nobody can find it, and trainers keep their own lists on their phones.
Something has to change. But what?
There are three honest options. Here's when each one is the right call.
What a gym actually needs to track
Before choosing anything, list what you really need. For most gyms in Ahmedabad it's:
- Members: name, phone, plan, start and end date.
- Payments: paid, pending, mode (UPI, cash, card).
- Attendance: who came, when.
- Renewals: who's expiring soon.
- Trainers: who has which clients, PT sessions left.
- Messages: reminders for renewals, fees and classes.
If a tool doesn't do these well, nothing else it does matters.
Option 1: A good spreadsheet
Right for: a new or small gym, one owner, under about a hundred members.
Good:
- Free.
- You can start today.
- Flexible.
Not so good:
- Nothing happens automatically. You have to remember to check renewals.
- Easy to break. One wrong edit and a column is gone.
- Hard to share safely with staff.
If you're here, set it up properly: one sheet for members, one for payments, one for attendance. Sort by expiry date every Monday. It'll carry you further than you think.
Option 2: A ready-made gym app
Right for: one or two branches, a few hundred members, and needs that are fairly standard.
Good:
- Attendance, renewals, payments and reminders out of the box.
- A monthly fee instead of a big upfront cost.
- Usually has a member app.
Not so good:
- You pay every month, forever, and prices often go up as you grow.
- You adjust to how the software works, not the other way round.
- Your member data sits on someone else's platform. Check you can export it.
- Branding is theirs, not yours.
My honest advice: try one before building anything. It's the cheapest way to learn what you actually need.
Option 3: Your own system
Right for: multiple branches, a clear way of working, and needs a ready-made app doesn't meet.
When it's worth it:
- You run several branches and want one member list, one report and members who can use any branch.
- You have special plans like couple memberships, corporate tie-ups, PT packages or class credits that apps handle badly.
- You want it connected to your own website, access control, billing or WhatsApp.
- You're paying a lot every month and would rather own something.
- You want your brand on the member app.
Not so good:
- A bigger upfront cost.
- Someone has to maintain it. Budget for that.
- It takes weeks to build, not minutes to sign up.
A quick way to decide
- Under about 100 members, one location: spreadsheet plus WhatsApp Business.
- One or two locations, standard needs: a ready-made app.
- Several locations, special plans or unhappy with the apps: your own system.
If you're unsure, you're probably not ready for option 3. That's fine.
What a custom gym system costs
It's "software people log into", because staff and possibly members need accounts. It costs more than a website and less than most people fear. You pay once, you own it, and there's no per-member fee.
The estimator gives you a rough range in a minute. If a ready-made app is the smarter choice for you right now, I'll say so. That advice costs nothing.
Whatever you pick
- Make sure you own the member data and can export it.
- Track attendance. It's the early warning for members about to quit. See why gym members stop coming.
- Send renewal reminders two weeks early.
- Keep payments linked to the member record, not in a separate notebook.
