A patient books a 5pm physio slot. At 5:15, the chair is still empty. Someone else who wanted that slot was told you were full.
No-shows cost you time, money and goodwill. Most of them aren't rude. People simply forget, or something came up and rescheduling felt like a hassle.
A few well-timed messages fix most of it.
Why WhatsApp works for clinics
In India, almost every patient uses WhatsApp and reads messages quickly. SMS gets lost among bank alerts and promotions. Calls get ignored if they're from an unknown number.
A short WhatsApp message from your clinic's verified business number feels personal and gets read.
The reminders that actually matter
1. Confirmation, right after booking
Hi Mr. Patel, your appointment with Dr. Shah is confirmed for Tuesday, 14 May at 5:00pm at our Navrangpura clinic. Reply 1 to confirm or 2 to reschedule.
Clear date, time, doctor and branch. An easy way to change it.
2. Reminder the day before
Same details, plus anything they need to bring: previous reports, fasting instructions, insurance card.
3. A short reminder on the day
A couple of hours before, especially for afternoon appointments. Include the map link.
4. Follow-up after treatment
For treatments that need a series of visits, like physiotherapy sessions, root canal stages or dermatology follow-ups:
Hi Riya, it's been two weeks since your first session. Dr. Mehta recommended a follow-up around now. Want us to book your usual Thursday slot?
This isn't marketing. It helps the patient complete their treatment.
Make rescheduling easy
This is the part many clinics miss. If rescheduling means calling during busy hours, people skip instead.
Give them a reply option or a link to pick a new time. A rescheduled appointment is far better than an empty chair.
What not to do
- Don't send promotional offers in the same thread as medical reminders. Keep them separate, or better, don't send promotions at all.
- Don't message too often. Confirmation, day-before, same-day. That's enough.
- Don't include sensitive medical details in messages. "Your appointment with Dr. Shah" is fine. The diagnosis is not.
- Don't message people who didn't agree to it. Ask for consent when they book, and let them opt out.
Health information deserves extra care. Collect only what you need, keep it in a secure system, and limit who can see it.
Manual or automatic?
A small clinic with a handful of appointments a day can do this manually with the free WhatsApp Business app. Use quick replies for the standard messages and labels to track who's been reminded.
A busy clinic or several branches will find manual reminders tiring and easy to forget. That's when automatic reminders are worth it. They're usually sent through the WhatsApp Business Platform via an approved provider or a system connected to your appointment book. It's paid per message, so keep messages useful.
A simple setup that works
- Collect the patient's WhatsApp number and consent when they book.
- Send the confirmation straight away.
- Send a reminder the day before and a couple of hours before.
- Give an easy reschedule option.
- Send one follow-up for treatments that need it.
- Check no-shows each month and adjust.
