Text-Message Loyalty Clubs for Charlotte Cafes: Bring People Back (and Stay Legal)
SMS loyalty can turn first-time visitors into regulars. How Charlotte cafes can run a text club that customers like, and the consent rules you must follow.

Your latte is great. Someone from a SouthPark office tries it once, loves it, and never comes back. Not because they didn't like it. Because they forgot.
A text-message club is one of the simplest ways to fix that. Americans read texts far more reliably than emails. But texting customers comes with real rules, so let's do it properly.
First: the rules, in plain English
This is not legal advice, but here's what every small business texting customers in the US should know:
- You need clear permission before sending marketing texts. Under the TCPA, marketing texts generally require the customer's prior express written consent. A tick box or a text-to-join with clear wording counts. A phone number on a receipt does not.
- Say what they're signing up for. "Get offers from Rail Trail Coffee. Up to 4 msgs/month. Msg & data rates may apply. Reply STOP to cancel."
- Honor STOP immediately. Every message should make opting out easy.
- Register your business texting. US carriers require business text messaging from regular local numbers to be registered (A2P 10DLC). Reputable texting tools handle this with you.
- Respect quiet hours. Don't text people late at night or early in the morning.
Getting this wrong can mean fines and blocked messages. Getting it right is not hard.
How people join
Make it quick and obvious:
- A counter sign: "Text COFFEE to (704) 555-0123 for a free pastry on your next visit."
- A QR code on tables that opens a short sign-up form with the consent wording.
- A checkbox at online checkout.
Always give something small for joining. A pastry or a free size upgrade works.
What to send (and what not to)
The fastest way to lose subscribers is to text too often. A good rhythm:
- Welcome text with the joining reward.
- Birthday reward, if they shared their birthday.
- "We miss you" after about a month without a visit.
- One or two updates a month at most: a seasonal drink, a new menu, an event.
Don't send the same discount every week. It trains people to wait for deals.
Tie it to loyalty
Paper punch cards get lost. Link rewards to the phone number instead:
- Buy 9, get the 10th free.
- Points per dollar, redeem for drinks.
- A secret menu item for club members.
Many POS systems like Square and Toast have built-in loyalty. If yours does, start there.
Know your regulars
The real value isn't the texts. It's the list. Over time you'll see:
- Who visits every week.
- Which offers actually brought people back.
- Which days are slow and need a nudge.
That tells you more than any ad report.
Ready-made tool or custom?
For a single cafe, use a ready-made texting or loyalty tool, or your POS's built-in option. It's cheaper and handles carrier registration.

A simple start this month
- Pick a texting tool that handles consent and registration.
- Put a sign and table QR codes up with clear wording.
- Offer one small joining reward.
- Send no more than a few messages a month.
- After 60 days, check who came back.
